Job Title: Administrative Clerk
Job Location: Dubai
Job Type: Full-Time
Business Unit Purpose:
To support the Customer Development Department by ensuring smooth administrative operations, accurate documentation, and systematic coordination through ERP and related tools.

Job Purpose:
To provide efficient administrative and clerical support that enhances departmental performance and aligns with company goals.


Key Result Areas:

  1. Address customer feedback (e.g., incorrect delivery notes or encoding errors) promptly to ensure accurate invoicing and month-end reconciliation.

  2. Verify and adjust data entries based on production reports to maintain accurate records.

  3. Manage consolidated office supply orders and implement controls to reduce stationery costs.

  4. Answer incoming calls courteously, take messages, and redirect to appropriate departments.

  5. Perform general clerical tasks such as photocopying, mailing, and document control.

  6. Handle Time & Attendance System (TAAS) entries to ensure payroll alignment.

  7. Seek managerial approval for amendments to delivery notes and production reports.

  8. Adhere to Health & Safety policies to ensure a safe working environment.


Job Context:
The Customer Development Department relies heavily on ERP systems for coordination with internal teams and clients. The Administrative Clerk plays a crucial role in ensuring accurate documentation, secure file handling, timely email dispatch, and adherence to company procedures. The role involves managing a high volume of ERP transactions (~30/day), monitoring 134+ staff timesheets daily, and maintaining regular internal communication (approx. 15 interactions/day).


Knowledge, Skills & Minimum Experience:

Education:

  • Secondary School Certificate

Work Experience:

  • Minimum 2 years in the hospitality industry

  • At least 1 year in a clerical or administrative support role

Skills:

  • Proficiency in ERP systems

  • Experience with timekeeping systems (e.g., TAAS)

  • Competence in Microsoft Word, Excel, and PowerPoint

  • Strong communication and interpersonal skills

  • High attention to detail and data accuracy

  • Comfortable with numbers and efficient in data entry
