Job Summary:
Mindware is seeking a UAE National to join their team as a full-time, on-site Administrative Assistant. The successful candidate will provide professional and timely administrative support to the Direct Manager and wider team, playing a key role in organizing office operations, managing communication, and ensuring smooth day-to-day administrative processes.
Key Responsibilities:

Offer high-level administrative support to the Direct Manager and designated team members.

Schedule and coordinate meetings, appointments, and events while managing calendar updates and sending timely reminders.

Receive, sort, and direct incoming mail, emails, and calls; respond to correspondence as required.

Answer phone calls, take accurate messages, and ensure prompt delivery to relevant team members.

Draft and prepare letters, reports, replies, and business documentation as requested.

Track and manage office expenses, invoice payments, and prepare related reports.

Organize, maintain, and update digital and physical filing systems for easy retrieval and recordkeeping.
Required Qualifications & Skills:

Bachelor’s degree in Business Administration or a related discipline.

Minimum 3 years of proven experience in an administrative or office support role.

Strong organizational and time management skills.

Excellent verbal and written communication abilities.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Detail-oriented, with the ability to manage multiple priorities efficiently.

Professional demeanor and ability to handle confidential information responsibly.
