Job Title: Administrative Assistant 

Job Description:

We are looking for a proactive and detail-oriented Administrative Assistant to join our office team in the UAE. This entry-level role is ideal for female candidates with strong communication, organizational, and multitasking skills who are eager to support administrative and HR functions in a professional work environment.

As an Administrative Assistant, you’ll be the backbone of our daily operations—ensuring smooth office management, excellent client interactions, and timely support across departments.

Key Responsibilities:

  • Prepare and issue appointment letters, contracts, and manage HR-related documentation

  • Track employee attendance and maintain accurate time-in/time-out records

  • Greet clients and guests warmly; offer refreshments like coffee or tea

  • Manage appointment scheduling and coordinate meeting times for management

  • Oversee office cleanliness, organization, and day-to-day maintenance

  • Restock and manage office supplies including stationery and consumables

  • Support the planning and logistics of internal events, meetings, and trainings

  • Maintain filing systems (both digital and paper-based) for documentation and reports

  • Handle general administrative duties, contributing to various team projects

  • Assist in enforcing office policies to ensure efficient operations

Preferred Candidate Profile:

  • Female candidates from Eastern/Western Europe, the Philippines, Russia, or Ukraine

  • Minimum 1 year of experience in an administrative or HR support role

  • Certification or diploma in administration or related field preferred

  • Strong interpersonal and communication skills (verbal and written)

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Highly organized with excellent time management and multitasking ability

  • Basic knowledge of HR processes and professional workplace etiquette

  • Approachable, detail-oriented, and capable of maintaining confidentiality

  • Comfortable working independently and within a team
