Job Title: Administrative Assistant
Job Description:
We are looking for a reliable and detail-oriented Administrative Assistant to support office operations and provide administrative assistance to ensure smooth daily functioning. The ideal candidate will assist with office management, customer service, project support, and communication tasks, contributing to the overall efficiency of the team.
Responsibilities:

Office Management:

Maintain office supplies inventory, check stock, and place orders as needed.

Ensure all office equipment is properly maintained and serviced regularly.

Manage incoming and outgoing mail and packages.

Administrative Support:

Assist in preparing regularly scheduled reports.

Organize and maintain a filing system for efficient document retrieval.

Update and ensure the office policies and procedures are current.

Coordinate with the IT department for equipment maintenance.

Communication:

Answer and direct phone calls to the appropriate departments or personnel.

Schedule appointments and manage calendars.

Organize meetings, prepare agendas, and take detailed minutes.

Handle written communications, including emails, memos, letters, faxes, and forms.

Customer Service:

Greet and assist visitors in a professional and friendly manner.

Address customer inquiries and resolve complaints efficiently.

Project Assistance:

Assist with the preparation of project proposals, reports, and presentations.

Conduct research, compile data, and support team projects.

Provide general administrative support to visitors and team members.

Skills & Qualifications:

Education & Experience:
-
High school diploma or equivalent required; additional qualification as an Administrative Assistant or Secretary is a plus.

Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.

Skills:
-
Proficiency in Microsoft Office, especially MS Excel and MS PowerPoint.

Excellent time management and organizational skills with the ability to prioritize tasks.

Strong attention to detail and problem-solving capabilities.

Excellent written and verbal communication skills.

Ability to multi-task and work efficiently in a busy environment.

Working Conditions:

This position is based in a standard office environment.
