Job Title: Administrative Assistant

Job Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to manage daily office operations, schedules, meetings, and communications. The ideal candidate should be proficient in office management tools, possess excellent communication skills, and ensure smooth administrative workflows. Prior experience as a Secretary or Executive Administrative Assistant is preferred.

Key Responsibilities:

Manage communication: Answer and direct phone calls professionally.
Schedule coordination: Organize and schedule appointments and meetings.
Meeting support: Prepare agendas, take detailed minutes, and distribute follow-up correspondence.
Documentation: Draft and distribute emails, memos, letters, faxes, and other documents.
Records management: Assist in preparing and maintaining reports and filing systems.
Policy implementation: Update and implement office policies and procedures.
Office supplies management: Maintain inventory and negotiate with suppliers for new deals.
Contact management: Maintain and update contact lists.
Travel coordination: Handle bookings and reconcile expenses.
Visitor assistance: Provide general support and act as a liaison between internal and external stakeholders.
Executive support: Work closely with senior administrative assistants and executives to handle requests and queries efficiently.

Skills & Qualifications:

Experience: Proven experience as an Administrative Assistant, Office Admin, or Virtual Assistant.
Technical proficiency: Strong knowledge of office management systems and MS Office (Excel, PowerPoint, Word).
Equipment handling: Experience with office equipment, such as printers and fax machines.
Time management: Excellent multitasking skills and ability to prioritize tasks efficiently.
Detail-oriented: Strong attention to detail and problem-solving abilities.
Communication: Exceptional written and verbal communication skills.
Education: High school diploma required; additional qualifications in office administration are a plus.
