Role Overview
A prestigious DIFC-based executive office is seeking an experienced and highly professional Administration Assistant to support the day-to-day management of corporate and personal affairs for the Principal and senior leadership team. Reporting directly to a long-standing and highly respected Executive Assistant, this role offers a unique blend of executive-level administrative support, private office coordination, and ad-hoc project management.

Key Responsibilities
Executive & Corporate Support

Support the Executive Assistant in managing the Principal’s corporate and business interests

Assist C-suite executives with diary management, scheduling, travel coordination, and expense processing

Prepare reports, budgets, presentations, and documentation for board meetings and senior-level engagements

Provide administrative support for ad-hoc projects and executive initiatives
Private Office & Personal Support

Manage confidential personal tasks on behalf of the Principal, including event coordination, travel research, and lifestyle support

Liaise with household staff, external service providers, and advisors as required

Conduct detailed research tasks, including travel planning, purchases, and private arrangements
Office Coordination & Gatekeeping

Act as a trusted gatekeeper, maintaining full awareness of both corporate and private priorities

Manage shifting priorities with discretion, professionalism, and exceptional organisational skills

Maintain the highest standards of confidentiality, integrity, and professionalism at all times

Build a close working partnership with the Executive Assistant to ensure seamless office operations
Candidate Profile
Essential Requirements

Native English speaker

Proven experience in executive administration, private office support, or senior-level administrative roles

Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

High level of comfort using modern research tools and AI-driven technologies

Exceptional organisational, time-management, and multitasking skills
