We are currently seeking a reliable and proactive Administrative Assistant to support our showroom and office operations, ensuring smooth day-to-day administration and effective coordination with internal teams and external service providers.
Key Responsibilities

Answer and manage incoming phone calls professionally and efficiently

Prepare, issue, and follow up on quotations using Odoo ERP, supporting the sales team

Create and manage invoices, purchase orders, delivery notes, and related documentation

Coordinate with DEWA, Du, and other utility or service providers for billing, service requests, and issue resolution

Handle daily showroom operational matters including maintenance, cleaning, A/C issues, and water leaks

Coordinate technical support for IT, network connectivity, office machines, and equipment repairs

Liaise with technicians, vendors, landlords, and service companies to resolve operational issues promptly

Maintain accurate filing systems for customer, supplier, HR, and maintenance records (physical and digital)

Assist with HR administrative tasks such as attendance tracking, visa documentation, and employee coordination

Monitor and maintain inventory and showroom supplies using Odoo ERP and manual checks

Ensure office and showroom operations comply with UAE laws, regulations, and company procedures
Requirements

Minimum 4 years of administrative experience (UAE experience preferred)

Bachelor’s degree in a relevant discipline

Previous exposure to sales support or coordination

Strong working knowledge of Odoo ERP (quotations, sales, invoicing, inventory)

Familiarity with UAE utilities (DEWA, Du) and basic maintenance coordination

Ability to coordinate with IT and technical support teams for office systems and equipment

Proficient in Microsoft Office (Word, Excel, Outlook)

Excellent written and verbal communication skills in English

Highly organized, detail-oriented, and capable of multitasking

Self-motivated with the ability to work independently and follow up proactively with vendors and service providers
