We are currently seeking a reliable and proactive Administrative Assistant to support our showroom and office operations, ensuring smooth day-to-day administration and effective coordination with internal teams and external service providers.


Key Responsibilities

  • Answer and manage incoming phone calls professionally and efficiently

  • Prepare, issue, and follow up on quotations using Odoo ERP, supporting the sales team

  • Create and manage invoices, purchase orders, delivery notes, and related documentation

  • Coordinate with DEWA, Du, and other utility or service providers for billing, service requests, and issue resolution

  • Handle daily showroom operational matters including maintenance, cleaning, A/C issues, and water leaks

  • Coordinate technical support for IT, network connectivity, office machines, and equipment repairs

  • Liaise with technicians, vendors, landlords, and service companies to resolve operational issues promptly

  • Maintain accurate filing systems for customer, supplier, HR, and maintenance records (physical and digital)

  • Assist with HR administrative tasks such as attendance tracking, visa documentation, and employee coordination

  • Monitor and maintain inventory and showroom supplies using Odoo ERP and manual checks

  • Ensure office and showroom operations comply with UAE laws, regulations, and company procedures


Requirements

  • Minimum 4 years of administrative experience (UAE experience preferred)

  • Bachelor’s degree in a relevant discipline

  • Previous exposure to sales support or coordination

  • Strong working knowledge of Odoo ERP (quotations, sales, invoicing, inventory)

  • Familiarity with UAE utilities (DEWA, Du) and basic maintenance coordination

  • Ability to coordinate with IT and technical support teams for office systems and equipment

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Excellent written and verbal communication skills in English

  • Highly organized, detail-oriented, and capable of multitasking

  • Self-motivated with the ability to work independently and follow up proactively with vendors and service providers
