Admin Assistant / EA

  • The Admin Assistant / Executive Assistant will play a vital role in supporting administrative tasks, facilitating communication, and ensuring smooth office operations. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The role involves supporting the CEO, handling HR-related tasks, assisting with finance management, and ensuring legal documentation is in order.

Key Responsibilities:

  • Admin Related:

    • Answer and direct phone calls, emails, and correspondence.

    • Organize meetings, appointments, and travel arrangements.

    • Prepare reports, memos, invoices, letters, and other documents.

    • Maintain filing systems (digital and physical).

    • Assist with office management tasks, including ordering supplies.

    • Manage calendars and meeting schedules for the CEO.

    • Coordinate internal communication and ensure timely distribution of information.

  • HR Related:

    • Support onboarding and offboarding processes.

    • Work closely with HR and IT for employee setup and documentation.

    • Assist in employee insurance and immigration documentation.

  • Finance:

    • Handle petty cash and assist with finance-related admin tasks.

    • Update company documents for banks and insurance policies.

  • Paralegal:

    • Manage KYC documents and liaise with legal counsel.

    • Handle company license renewals and legal filing systems.

    • Support in issuing company certificates and related documentation.

Qualifications & Experience:

  • High school diploma or equivalent; additional qualifications as an Administrative Assistant.

  • 2-3 years of relevant experience in a similar administrative role.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Strong communication, multitasking, and organizational skills.

  • Ability to work independently and in a team.
