Role Overview

We are looking for a highly organised and detail-driven Legal & GRC Administrator to provide comprehensive administrative, coordination, and executive support across the Legal and Governance, Risk & Compliance (GRC) functions within a leading real estate organisation.

This role is critical to ensuring the smooth day-to-day operation of both departments, supporting statutory, regulatory, and governance requirements across UAE jurisdictions. The successful candidate will be proactive, discreet, and comfortable working in a fast-paced, confidentiality-sensitive environment supporting senior leadership.

Key Responsibilities

Executive Support

  • Manage complex and dynamic calendars for senior leaders, including scheduling, prioritisation, and conflict resolution

  • Coordinate internal and external meetings, preparing agendas, briefing packs, minutes, and follow-up actions

  • Arrange travel, visas, itineraries, and related logistics

  • Act as a key administrative liaison between executives and internal and external stakeholders

Administrative & Operational Support

  • Prepare and format correspondence, executive summaries, reports, presentations, and internal communications

  • Ensure accurate document formatting, proofreading, version control, and filing

  • Coordinate cross-departmental requests and follow up to ensure timely delivery

  • Support department workshops, training sessions, and events

  • Handle sensitive and confidential information with the highest level of discretion

  • Support ad-hoc projects across Legal and GRC

  • Conduct basic research and prepare briefing notes when required

Governance, Risk & Compliance Support

  • Assist in the preparation, formatting, filing, and archiving of governance documentation, including:

    • Board and Committee materials

    • Department MIS reports

    • Registers, logs, and trackers

  • Support statutory filings, corporate secretarial documentation, and regulatory submissions across UAE authorities (including DIFC, DET, Ministries, Notaries, and Land Departments)

  • Maintain and update group trackers, dashboards, and registers such as policy registers, insurance trackers, and risk registers

  • Coordinate controlled document distribution and record management

Legal Administration

  • Maintain corporate records, powers of attorney logs, licence renewals, and entity management documentation

  • Support contract execution processes, including circulation, notarisation, filing, and tracking

  • Monitor legal workflows, key deadlines, and renewal calendars

Stakeholder & Communication Management

  • Liaise with internal teams including HR, Finance, Procurement, Operations, and Projects

  • Coordinate with external parties such as regulators, law firms, insurers, and consultants

  • Maintain stakeholder contact lists, trackers, and meeting follow-up logs

Candidate Requirements

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Law, Governance, or a related field preferred

  • Minimum 5 years’ experience in an administrative or assistant role (Legal Assistant, Team Assistant, or similar)

  • Proven experience supporting senior executives, ideally within legal, governance, corporate affairs, or regulated environments

  • Experience within the Dubai real estate sector is advantageous

  • Working knowledge of UAE corporate governance, legal documentation, and regulatory processes is a strong advantage

Skills & Attributes

  • Advanced MS Office skills (Word, Excel, PowerPoint, Outlook)

  • Strong document formatting, proofreading, and version control skills

  • Familiarity with statutory filings, corporate registers, and legal documentation

  • Highly organised with strong attention to detail

  • Discreet, trustworthy, and professional

  • Confident communicator with strong interpersonal skills

  • Able to manage competing priorities under pressure
