Job Summary:
SPE is looking for a highly organized and proactive Event Assistant to join its Dubai-based team. This full-time hybrid role supports the execution of workshops, symposiums, and summits across the Middle East, Africa, and South Asia regions. The ideal candidate will bring strong administrative skills, experience with event support, and a willingness to work in a dynamic, fast-paced environment.
Key Responsibilities:

Serve as the main internal contact for all program-related information and support Event Managers and stakeholders

Generate registration and demographic reports using event databases

Maintain updated records of registrants, committee members, executives, and exhibitors

Coordinate committee meeting logistics (venue setup, AV needs, meeting packs, shipping)

Assist with financial processes including invoicing and payment tracking

Prepare event-related materials such as labels, badges, certificates, and housing lists
-
Manage calls for papers and manuscript submissions for conferences
-
Design and produce event brochures

Support programme timelines and production deadlines alongside Programme Specialists
Required Skills & Experience:
-
2–3 years of administrative experience, preferably with event support
-
Proficient in Microsoft Office (Word, Excel, PowerPoint, Forms) – pivot tables and formulas are a plus

Familiarity with event management software like Oasis, EBMS, or Personify is an advantage
-
Strong planning and multitasking skills with high attention to detail
-
Excellent interpersonal and communication skills (verbal and written in English)

Ability to solve problems and handle numerical data for tasks such as budgeting and discounts

Agile, proactive, empathetic, and able to work independently and in a team

Flexibility to work across time zones and travel up to 40% internationally
