Mammoet is currently seeking a highly organized and proactive Travel & Office Support Officer to join its team in Dubai, UAE. This full-time, on-site role combines business travel coordination with office administration, making it ideal for candidates with a strong background in both travel logistics and front-office operations.
As the central point of coordination between employees, vendors, and internal departments, the successful candidate will play a key role in ensuring compliance with corporate travel policies, enhancing office efficiency, and delivering top-notch support services. This position offers the opportunity to work in a dynamic, fast-paced environment where attention to detail and excellent communication skills are essential.
Travel Responsibilities:

Coordinate domestic and international travel (flights, hotels, transport), including any required changes.

Collaborate with employees and managers to align travel plans with business needs.

Ensure adherence to company travel policies, budgets, and regulatory requirements.

Secure cost-effective travel rates and manage vendor relationships with airlines, hotels, and car rental services.

Handle visa applications, passport processes, travel insurance, and required travel documentation.

Monitor and troubleshoot travel schedules proactively.

Maintain accurate records, including expense reports and reconciliations.

Support employees with the company’s self-service travel platform.

Stay updated on travel industry tools and best practices to improve efficiency.
Office Administration Responsibilities:

Manage front desk duties, welcome visitors, and handle incoming/outgoing phone calls professionally.

Enforce access control protocols (ID verification, visitor passes, gate passes).

Maintain inventory of office supplies and manage logistics for boardroom/training room setups.
-
Provide administrative support to management and handle minor bookkeeping or cashier tasks related to food, courier, and office services.

Coordinate food catering and logistics for internal events and VIP visits.
-
Perform additional tasks as directed by management.
Skills & Experience Required:

At least 7 years of experience in a similar Travel & Office Support role.

Strong knowledge of travel platforms, international travel regulations, and visa processing.

Experience using online booking platforms and travel management tools.

Excellent organizational and multitasking abilities.

High attention to detail, particularly in logistics and documentation.

Proficiency in Microsoft Office Suite and other relevant digital tools.

Exceptional verbal and written communication skills, including negotiation and interpersonal effectiveness.

Calm and responsive under pressure with strong problem-solving skills.

Customer-focused attitude with a proactive approach.

Experience in supporting or training others on self-service travel platforms is an advantage.
