Job Title: Executive Assistant
Job Description:
We are seeking a highly organized and versatile Executive Assistant with proven experience in Administration, HR, and Accounts to support our Managing Director and ensure smooth office operations. This multi-functional role requires a dynamic individual capable of handling a broad range of responsibilities, from executive support and HR coordination to managing financial records.
Key Responsibilities:
Executive & Administrative Support

Manage the MD’s calendar, coordinate meetings across time zones, and handle confidential communications

Take and distribute meeting minutes

Organize international and domestic travel (flights, accommodation, visas, transport)

Greet visitors and represent the company professionally

Draft presentations, internal memos, and external communications
-
Renew legal documents (trade licenses, insurances, tenancy contracts, etc.) and maintain secure company records

Maintain office/warehouse safety and coordinate repairs
Human Resources Management
-
Handle recruitment, onboarding, and exit formalities
-
Prepare employee documents (offer letters, warnings, promotions, etc.)
-
Manage visa processing through DMCC and Dubai Trade portals
-
Monitor attendance, leaves, and prepare payroll
-
Maintain up-to-date employee files and support HR policy implementation
-
Draft and revise HR policies and internal procedures
Accounting & Finance Support

Maintain financial records and manage petty cash and company credit cards
-
Verify supplier invoices and initiate online payments
-
Process reimbursements and prepare statements of accounts
-
Follow up with clients for payments and issue debit/credit notes
-
Assist with reconciliations and audit processes

Experience: 3–8 years in similar multi-functional roles
