Job Title: Administrative & Front Desk Coordinator

Job Description:

We’re looking for a personable and detail-oriented Administrative & Front Desk Coordinator to be the face and voice of our organization. This role involves managing daily communications, coordinating travel and meetings, and ensuring visitors and clients are warmly received and professionally directed. You’ll play a key role in supporting smooth organizational flow and maintaining a welcoming front desk presence.

Key Responsibilities:

  • Promptly respond to incoming calls, emails, messages, and other forms of communication.

  • Assist team members with all travel arrangements, including flight bookings, hotel accommodations, and departure coordination.

  • Coordinate with internal teams to organize meetings, ensuring seamless scheduling and execution.

  • Conduct professional and courteous telephone conversations while following organizational communication standards.

  • Greet and guide clients or visitors, ensuring they feel welcomed and are directed to the appropriate departments.

Skills & Requirements:

  • Excellent communication skills and the ability to relay messages accurately and efficiently.

  • Friendly and professional demeanor with strong interpersonal skills to interact with staff and visitors respectfully.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Patient, supportive, and a strong team player.

  • Ability to complete administrative tasks using relevant software and digital tools.

  • Well-organized with the ability to manage multiple priorities and meet deadlines effectively.
