ENGIE Cofely Energy Services LLC, a part of the global energy group ENGIE, is hiring an Administrator for their Operations Department in Dubai. The role supports facility management operations by ensuring timely and accurate handling of administrative duties, client coordination, job scheduling, documentation, and financial tracking. This is an on-site, full-time position reporting to the Site Manager.
Key Responsibilities:

Attend to service requests from clients, tenants, and landlords via phone and email

Schedule appointments and coordinate technician interventions
-
Prepare and send maintenance quotations for client approval
-
Handle job request interventions and coordinate logistics with supervisors
-
Track job completion and close interventions in the system
-
Manage petty cash and prepare monthly work summaries for invoicing
-
Maintain records of payments and outstanding invoices
-
Track and coordinate preventive maintenance schedules (PPM)
-
Handle email correspondence, document filing, and miscellaneous office tasks
QHSE Responsibilities:

Follow health and safety protocols and avoid actions that may put others at risk

Cooperate with company efforts to improve workplace safety
-
Report any accidents or health issues promptly
-
Avoid tampering with safety and welfare provisions
Skills Required:

Interest in administrative and HR development

Strong time management and organizational skills

Excellent verbal and written communication skills

Good listener with proactive support skills

Proficient in MS Office (Word, Excel)

Strong record-keeping and administrative abilities
Qualifications & Experience:

High school diploma or equivalent

3–4 years of experience in administration

Proficiency in English (spoken and written)
