Kleindienst Group, a prestigious luxury real estate developer and hospitality group, is looking for an Events Projects Executive to support the successful execution of high-profile roadshows and premium island activations. The role involves coordinating logistics, timelines, and cross-functional communication, ensuring seamless execution of events at The Heart of Europe. This is a fast-paced, high-impact role, ideal for someone who thrives under pressure and is proactive.
Key Responsibilities:

Project Coordination & Scheduling:

Maintain and update the master calendar for international roadshows and island-based events.

Track production and delivery milestones, liaising with operations and creative teams.

Coordinate venue bookings, travel, shipping, and on-ground logistics.

Cross-Functional Communication:

Serve as a liaison between island operations, HQ, suppliers, and international venues.

Maintain updated status sheets, Gantt charts, and checklists across multiple events.

Ensure real-time communication during event planning and execution.

Logistics & Inventory Support:

Track movement and condition of event assets (booths, screens, printed materials, tech kits).
-
Coordinate packing, shipping, and installation schedules for event materials.

Reporting & Admin:

Assist in compiling lead reports, post-event recaps, and attendance summaries.
-
Manage petty cash, expense trackers, and follow up on vendor payments.
-
Maintain CRM integrity for captured event leads and partner data.

On-Site Support:

Attend international roadshows and island events to support setup, registration, and execution.
-
Provide hands-on support for VIP client hosting, media coordination, and real-time problem-solving.

Skills & Qualifications:
-
Bachelor’s degree in Marketing, Event Management, Hospitality, or a related field (or relevant work experience).

2–4 years in event coordination, hospitality, or marketing project management.
-
Highly organized and detail-oriented with strong time management skills.
-
Ability to juggle multiple deadlines and work under pressure.

Strong interpersonal and written communication skills.
-
Proficient in Google Workspace or Microsoft Office, CRM tools, and event software.
-
Willingness to travel internationally and work flexible hours as required.

Experience in luxury events, travel, or hospitality industries is preferred.
-
Arabic-speaking is an advantage but not required.
