Job Title: Executive Assistant to CEO
Job Description:
Chalhoub Group, a pioneering force in the luxury retail industry across the Middle East for over six decades, is looking for a highly organized and proactive Executive Assistant to support its dynamic CEO. This pivotal role involves managing a range of administrative, operational, and strategic functions, ensuring the smooth and effective day-to-day operations of the business while contributing to its legacy of luxury, innovation, and excellence.
What You’ll Be Doing:

Manage the CEO’s calendar and appointments to ensure efficient time management.

Handle incoming calls, correspondence, and respond independently as needed, filtering key communications for the CEO.

Collaborate with internal teams and external clients, customers, and suppliers on CEO’s requests and submissions.

Assist in preparing presentations, reports, and documents, ensuring clarity and professionalism.

Coordinate travel arrangements, itineraries, and manage travel-related expenses in collaboration with the travel department.

Organize and plan visits from key stakeholders and VIP guests.
-
Maintain digital records, spreadsheets, and databases, ensuring organization and accuracy.
-
Coordinate events, meetings, and other special activities as needed.

Proofread and edit various materials such as emails, reports, social media posts, etc.

Attend meetings with or on behalf of the CEO, ensuring detailed minutes and clear takeaways.

Keep an updated list of pending tasks and deadlines for the CEO.

Prepare and ensure all meeting rooms are ready for CEO-led discussions.

Greet and manage external visitors, ensuring a professional experience.

Coordinate with IT to ensure all necessary technology and tools are up to date and functioning.

Support the CEO in social media management, including LinkedIn.

Assist with copywriting for press releases, speeches, internal communications, and other CEO-related materials.
What You’ll Need to Succeed:

Experience in managing or leading multiple projects concurrently with attention to detail and deadlines.

Excellent stakeholder management and the ability to liaise with people at all levels.

A proactive, adaptive, and solution-oriented mindset.

Strong written and verbal communication skills.

Ability to prioritize and work under pressure in a fast-paced environment.

Proficient in Microsoft Office tools and Outlook.

A proven ability to support senior leadership and act as a trusted advisor.
