Job Title: Executive Secretary 

Job Description:

We are seeking a highly organized and proactive Executive Secretary to provide top-tier administrative and operational support to our executive leadership team. This pivotal role ensures the smooth functioning of daily executive activities while also managing office operations to maintain an efficient and professional workplace.

As the right hand to the executive team, you’ll coordinate high-level meetings, manage schedules, streamline communications, and oversee essential office functions including supplies, maintenance, and basic IT troubleshooting.

Key Responsibilities:

  • Provide comprehensive administrative support to senior executives, ensuring seamless coordination of schedules, meetings, and communications.

  • Organize internal and external events, conferences, and high-level functions in collaboration with various stakeholders.

  • Manage office supplies, oversee facility maintenance, and address minor IT support issues to ensure a well-functioning work environment.

  • Serve as a central communication point, handling emails, calls, and messages with clarity, accuracy, and discretion.

  • Draft professional correspondence, reports, and documentation for internal and external use.

  • Foster collaboration by building strong working relationships across departments and with external partners.

  • Ensure confidentiality and professionalism in handling sensitive information and executive-level documentation.
