Administrator – Events Security Operations
Transguard Group Dubai , UAE

Transguard Group, a leader in business support and outsourcing services in the UAE, is seeking an Administrator for Events Security & Executive Protection to join the team in their DAFZA office. The role involves processing rosters, time & attendance, payroll reports, invoicing for events, and coordinating procurement and financial tasks for Event Security and Executive Protection teams. The successful candidate will need to maintain up-to-date records and ensure effective communication with internal and external stakeholders.

Key Responsibilities:

  • Financial Management:

    • Coordinate with Site Operations and Account Managers to receive attendance data for invoicing.

    • Ensure timely invoicing for events, clubs, bars, and Executive Protection.

    • Work alongside operations to raise Purchase Requests, Purchase Orders, and handle procurement queries for events.

    • Assist with rostering, scheduling, and maintaining records to avoid shortages and financial discrepancies.

    • Reconcile expenses for events and ensure proper documentation is submitted.

  • Customer Relations:

    • Prepare and distribute client documents for event staff deployments.

    • Maintain communication with clients regarding invoicing discrepancies and deployment services.

    • Generate and distribute requested documents for full-time and part-time staff.

  • Administrative and Process Management:

    • Maintain updated personnel records for full-time, part-time, and zero-hour staff.

    • Process relevant staff records, including Emirates IDs, Health Cards, uniforms, fuel cards, and vehicle registrations.

    • Interface with SOC and TGSS management to support event operations and manpower management.

  • Innovation & Efficiency:

    • Develop and maintain personnel and client files to streamline administrative tasks.

    • Collaborate with other departments to improve processes and implement Lean Six Sigma principles for task efficiency.

What We’re Looking For:

  • Minimum of 3 years of experience as an administrator, with a strong financial and administrative workload background.

  • High School Diploma (required).

  • SIRA/PSCOD certification is beneficial.

  • Proficiency in Microsoft Office (especially Excel at an advanced level), Word, and Outlook.

  • Knowledge of Oracle and Salesforce is an advantage.

  • Excellent communication skills (both verbal and written).
