Job Title: Administrative Coordinator 

Job Description:

We are seeking a detail-oriented and organized Administrative Coordinator to support the daily operations of our Marina department. In this multifaceted role, you will handle document filing, customer communication, membership management, and assist with financial reporting and internal coordination. You will play a key role in ensuring smooth administrative processes and maintaining exceptional service standards for marina members.

Key Responsibilities:

  • Maintain and file official documents and update records regularly.

  • Manage Creek Breeze bookings, log payments, and generate monthly summaries.

  • Prepare and send monthly fuel usage and Creek Breeze reports.

  • Collect and compile customer feedback and generate reports.

  • Email monthly statements to marina members and follow up on payments.

  • Update Ageing Reports and maintain follow-up logs on outstanding payments.

  • Record and distribute meeting minutes and ensure action items are tracked.

  • Manage Marina Membership files, update dockage contracts, send renewal notices, and handle incomplete documentation.

  • Print and issue membership cards, respond to member inquiries, and provide frontline support.

  • Update Marina Dock Check records and notify accounts of membership cancellations.

  • Ensure adherence to Internal Service Request (ISR) procedures and maintain ISR register.

  • Prepare timesheets for salary processing and maintain colleague records.

  • Provide general assistance to the Front of House team as needed.

Qualifications:

  • Diploma or Bachelor’s degree in Administration, Office Management, or a related field.

  • Training in Document Management or Record Keeping preferred.

  • Basic understanding of accounting or finance for handling reports and payments.

  • Proficiency in Microsoft Office Suite and professional email communication.

  • Familiarity with customer service practices and standard office procedures is an advantage.
