An established international commodities trading firm is hiring a Personal Assistant to support the CEO and Head of Sales. This full-time, on-site position in Dubai requires a highly organized, proactive professional with experience in executive-level support. The ideal candidate will manage daily administrative, communication, and scheduling tasks while maintaining confidentiality and efficiency in a fast-paced environment.
Key Responsibilities:

Manage calendars, schedule meetings, and coordinate travel for the CEO and Head of Sales

Prepare and edit reports, presentations, and internal documents
-
Act as the liaison between executives, clients, and internal departments
-
Handle calls, emails, and correspondence professionally and with discretion
-
Organize complex travel itineraries including flights, accommodation, and local transportation
-
Coordinate meetings, take minutes, prepare agendas, and follow-up on action items
-
Assist with sales-related administration including tracking targets, preparing reports, and supporting client interactions
-
Monitor and track project milestones to ensure timely progress
-
Maintain confidentiality with sensitive business and personal information
Requirements:
-
Bachelor’s degree in Business Administration, Management, or related field (preferred)
-
Minimum 5 years’ experience as a Personal Assistant or Executive Assistant
-
Previous experience in a retail or distribution environment is an advantage

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Fluency in English; French or Arabic is a plus

Strong multitasking, time management, and communication skills

Excellent organizational and interpersonal abilities

High integrity and ability to handle confidential information professionally
