Job Title: Document Controller
Job Summary:
We are seeking a detail-oriented and organized Document Controller/Receptionist to efficiently manage construction project documentation while ensuring smooth front-office operations. This role requires strong multitasking abilities, attention to detail, and excellent communication skills in a fast-paced construction environment.
Key Responsibilities:
📂 Document Controller Duties:
- Manage Construction Documents: Handle project-related documentation, including contracts, blueprints, drawings, permits, RFIs, and change orders.
- Document Filing & Organization: Maintain accurate filing, categorization, and indexing of physical and digital records.
- Track Document Versions: Ensure version control to keep all stakeholders updated with the latest information.
- Coordinate Document Distribution: Distribute project documents to internal teams, subcontractors, and stakeholders.
- Ensure Compliance: Adhere to industry regulations, company policies, and quality control standards.
- Maintain Document Databases: Update project documents in document management systems (DMS) or project management software.
- Project Reporting Support: Assist in preparing document logs, tracking sheets, and project reports.
📞 Receptionist Duties:
- Greet Visitors: Provide a professional and welcoming reception to clients, contractors, and vendors.
- Manage Calls & Emails: Answer calls, direct inquiries, and forward information to the appropriate team members.
- Handle Mail & Deliveries: Receive and distribute mail, packages, and office deliveries.
- Schedule Appointments & Meetings: Organize meetings, coordinate meeting rooms, and assist with travel arrangements.
- Maintain Front Desk: Ensure the reception area is clean, organized, and presentable.
- Assist with Office Supplies: Monitor and manage office supply inventory for smooth operations.
Skills & Qualifications:
🎓 Educational & Professional Requirements:
- Minimum 2 years of experience in document control and receptionist roles, preferably in the construction industry.
- Basic knowledge of construction documentation (contracts, technical drawings, permits, etc.).
- Proficient in document management systems (DMS) and Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Familiarity with project management software (e.g., Procore, SAP, Aconex) is a plus.
