GEMS Education, a global leader in private education, is seeking a detail-oriented and proactive Examinations Officer to join its academic team in Dubai. This full-time, on-site role is ideal for a highly organized individual with a strong understanding of UK and IB examination frameworks. The Examinations Officer will be responsible for coordinating all aspects of internal and external assessments, ensuring compliance with awarding body regulations, and supporting students, staff, and parents throughout the examination process.
Key Responsibilities:
Examination Planning & Coordination:
- Liaise with awarding bodies (e.g. JCQ, Pearson, AQA, IB) to stay updated on regulations and timelines
- Manage exam entries, student registrations, access arrangements, and fee processing
- Publish exam timetables and coordinate room bookings, seating plans, and invigilation schedules
Administration of External Exams:
- Ensure full compliance with JCQ/IB regulations before, during, and after exams
- Supervise exam sessions and manage secure handling of exam materials
- Coordinate special considerations and access arrangements with SENCO/inclusion teams
- Lead the results day process and manage post-results services
Internal Assessments & Mock Exams:
- Organize internal assessments and mock exams across year groups
- Support departments with data entry, moderation, and coursework submissions
- Uphold academic integrity, especially for IB internal assessments
Data Management & Reporting:
- Maintain accurate exam data in systems like SIMS and ManageBac
- Generate reports on exam performance, trends, and regulatory compliance
- Support inspections and university admissions processes with relevant data
Compliance & Quality Assurance:
- Train staff and invigilators on exam regulations and procedures
- Respond to audits and quality assurance visits from awarding bodies
Invigilation & Staffing:
- Recruit, train, and manage a team of invigilators
- Act as lead invigilator or exam supervisor when required
Communication & Support:
- Serve as the primary contact for exam-related queries from students, parents, and staff
- Collaborate with IB Coordinator, Head of Sixth Form, and SLT to align assessment strategies
Continuous Improvement:
- Stay current with changes in UK and IB assessment frameworks
- Reflect on and improve exam processes annually
- Participate in CPD related to exam systems and policy updates
Required Skills and Qualifications:
- Strong analytical and problem-solving skills
- Proficiency in Excel and data management systems
- Excellent organizational and interpersonal communication skills
- Ability to work independently and take initiative
- Degree preferred but not essential
